# Review Reports

> Use GoGuardian Hall Pass Reports to understand pass activity, identify trends, and make informed decisions about site policy, staffing, and locations.

GoGuardian Hall Pass Reports give administrators a detailed view of pass activity across students, staff, and locations. Use them to answer questions like which locations see the most traffic, when peak pass times occur, which students are frequently out, and which staff generate the most activity.

Go to **Reports** in the Hall Pass sidebar to access all report screens.

## Compare Reports at a Glance

| Report            | What it shows                                                           |
| ----------------- | ----------------------------------------------------------------------- |
| Activity Overview | Pass activity over time, with filters for pass type and granularity     |
| Top Students      | Students with the most hall pass activity over the selected period      |
| Top Staff         | Staff with the most hall pass activity over the selected period         |
| Top Locations     | Locations with the most hall pass activity over the selected period     |
| Writeups          | Writeups submitted by staff over the selected period                    |
| Out Together      | Students who have been in the hallway together over the selected period |

All reports include a date range selector. Select your date range before reviewing or exporting data.

## Analyze Activity Overview

The **Activity Overview** report displays a chart of pass activity over time. Use it to identify peak periods during the day, week, or month and to compare activity trends across time.

**Filters:**

* **Total:** all passes in the selected period
* **Realtime:** passes created in real time
* **Scheduled:** passes created in advance
* **Expired:** passes that expired without being ended

**Granularity options:** Group by Hour, Group by Day, Group by Week, or Group by Month.

**Use cases:**

* Identify peak hallway activity windows to adjust staffing or time restrictions.
* Compare week-over-week or month-over-month trends after policy changes.
* Determine whether scheduled or realtime passes make up the majority of activity.

## Review Top Students

The **Top Students** report lists students with the most hall pass activity over the selected period.

**Columns:**

| Column                   | Description                                     |
| ------------------------ | ----------------------------------------------- |
| Student                  | Student name                                    |
| Number of Hall Passes    | Total passes created for the student            |
| Total Hall Pass Duration | Cumulative time the student has spent on passes |

**Use cases:**

* Identify students who may benefit from additional support or check-ins.
* Spot patterns in pass frequency that may indicate scheduling issues.

## Review Top Staff

The **Top Staff** report lists staff with the most hall pass activity over the selected period.

**Columns:**

| Staff Member         | Staff name                                  |
| Hall Passes Created  | Number of passes this staff member created  |
| Hall Passes Approved | Number of passes this staff member approved |

**Use cases:**

* Understand how pass creation and approval is distributed across staff.
* Confirm that pass workflows are being used consistently across classrooms.

## Inspect Top Locations

The **Top Locations** report lists locations with the most hall pass activity over the selected period.

**Columns:**

| Location               | Location name                                  |
| Hall Pass Origins      | Number of passes that started at this location |
| Hall Pass Destinations | Number of passes that ended at this location   |

**Use cases:**

* Validate destination capacity settings against actual traffic.
* Identify locations that may need additional time restrictions or rules.

## Check Writeups

The **Writeups** report shows writeups submitted by staff over the selected period.

Review writeups to understand patterns in student behavior that staff have documented, and to inform policy or supervision decisions.

## Examine Out Together

The **Out Together** report shows students who have been in the hallway together over the selected period.

**Columns:**

| Column             | Description                                      |
| ------------------ | ------------------------------------------------ |
| Student 1          | First student                                    |
| Student 2          | Second student                                   |
| Count              | Number of times these students were out together |
| Out Together Rules | Any Out Together Rules applied to this pair      |

**Use cases:**

* Review whether Out Together Rules are surfacing the right pairs.
* Identify co-occurring patterns not yet covered by existing rules.

## Export a Report

All reports include an **Export** button. Selecting **Export** queues a CSV file for generation. Hall Pass will send you an email when your report is ready to download.

**Available export types:**

* Pass Activity
* Out Together
* Writeups
* Top Students
* Top Staff
* Top Locations

Keep in mind that reports are scoped to the site you're currently viewing. If you manage multiple sites, confirm you're in the correct site before exporting or presenting data.

## Apply a Review Routine

Consistent reporting helps you stay ahead of patterns and make adjustments before issues escalate.

* **Weekly:** Review Activity Overview to understand current pass volume and peak windows.
* **Monthly:** Review Top Locations and Out Together to validate location capacity, Out Together Rules, and hallway coverage patterns.
* **As needed:** Use insights from Top Students and Writeups to inform individual support decisions.
* **After policy changes:** Run Activity Overview and Top Locations to confirm that new rules or time restrictions are having the intended effect.

When reviewing any report, always confirm the date range matches your intended period. If your site spans multiple time zones or recently changed schedules, verify timezone expectations before exporting or sharing data.
