# Set Up Hall Pass in Org Management

> Configure GoGuardian Hall Pass sites, user mappings, and role mappings in Org Management so students, staff, and admins reach the right buildings and tools.

This article covers how to set up GoGuardian Hall Pass in Org Management at [manage.goguardian.com](https://manage.goguardian.com). Complete these steps before configuring rooms, rules, or site settings inside Hall Pass itself.

## Confirm Hall Pass Is Enabled for the Organization

Before configuring any schools, verify that Hall Pass is licensed and accessible.

1. Go to [manage.goguardian.com](https://manage.goguardian.com) and sign in with your district administrator account.

2. Open the GoGuardian product switcher and confirm **Hall Pass** appears as an available product.

3. If Hall Pass does not appear, contact GoGuardian support to confirm your organization's license.

4. Verify the result: Hall Pass is visible in the product switcher and you can open it without an access error.

## Create a Site for Each School or Building

Each school that will use Hall Pass needs a corresponding site in Org Management.

1. In Org Management, go to the **Sites** section.
2. Select **Add Site** and enter a clear, human-friendly name for the school or building. This name is what users see when selecting a site.
3. Save the site.
4. Repeat for each additional school or building.
5. Verify the result: Each school appears as a named site in the Sites list.

When Hall Pass provisions a new site, it creates a default set of rooms (for example, bathroom, library, nurse). You can rename or replace these later to match your building.

## Map Students into Each Site

Create an OU mapping to give the student population at each school access to the correct site.

1. In Org Management, go to the **Mappings** section for the relevant site.
2. Select **Add OU Mapping**.
3. Enter the OU path for the student population at that school.
4. Set the role to **Student**.
5. Save the mapping.
6. Verify the result: Students in that OU can sign in to Hall Pass and see only student-facing pass request workflows for the correct site.

## Map Staff into Each Site

Create an OU mapping to give staff the ability to manage passes at each school.

1. In Org Management, go to the **Mappings** section for the relevant site.
2. Select **Add OU Mapping**.
3. Enter the OU path for the staff at that school.
4. Set the role to **Staff** or **Admin**, depending on the level of access required.
5. Save the mapping.
6. Verify the result: Staff in that OU can sign in to Hall Pass and see the home approvals queue and **Hall Monitor**.

## Add Individual User Exceptions (Optional)

Use individual user mappings when a specific person should not follow the OU rule.

1. In Org Management, go to the **Mappings** section for the relevant site.
2. Select **Add User Mapping**.
3. Search for and select the user.
4. Assign the appropriate site and role.
5. Save the mapping.
6. Verify the result: The user can access the assigned site with the correct role, regardless of their OU placement.

Common use cases for individual user mappings:

* A staff member who supports multiple sites (map them into each relevant site separately)
* An administrator who needs admin-level access at a site where their OU mapping would assign a different role

Individual user mappings take precedence over OU mappings for that user.

## Verify Access with Real User Accounts

After saving all mappings, confirm each role type works as expected.

1. Sign in as a staff user and confirm they can see the correct site, the home approvals queue, and **Hall Monitor** (if applicable).
2. Sign in as an administrator and confirm they can access **Site Settings**, **Rooms**, **Out-together Rules**, **Group Rules**, **Time Restrictions**, and **Reports**.
3. Sign in as a student and confirm they can request a pass and see only student-facing experiences.
4. Verify the result: All 3 role types access the correct site with no "no sites available" errors.

If a user can sign in but sees a "no sites" error, that almost always means there is no OU or user mapping that matches them for any Hall Pass site in your organization.

## Review Best Practices

**Use exact OU path matching.** If you map `/school_a/students` but a student is in `/school_a/students/grade_9`, the mapping does not apply, depending on how your directory paths are structured. Use the OU path strategy your district standardizes on.

**Review legacy user mappings.** If a user is mapped individually, that mapping overrides their OU mapping. A stale individual mapping can cause unexpected role assignments, such as a teacher appearing as a student.

**Map multi-site staff intentionally.** Staff who support multiple schools must be mapped into each relevant site. Without an explicit mapping for each site, they see only 1 building, or none at all.
