# Review Site Settings

> Site settings control how GoGuardian Hall Pass behaves across a school and what students and staff see during pass workflows. Review them before rollout.

Site settings control pass limits, timing behavior, student permissions, and location options for an entire GoGuardian Hall Pass site. Changes here apply to all staff and students at that school. Review these settings before staff and students begin using Hall Pass.

## Navigate to Site Settings

1. Sign in to [hallpass.goguardian.com](https://hallpass.goguardian.com).

2. In the sidebar, select **Site Settings**.

## Review Site Capacity

| Setting           | Description                                                                                                                                                                                                                                                          |
| ----------------- | -------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Site Capacity** | The maximum number of concurrent active passes allowed across the entire site at one time. When this limit is reached, students see the message "The maximum number of hall passes for this site are in use" and cannot create new passes until an active pass ends. |

Start with a conservative capacity and tune it using **Reports** and **Insights** after a few weeks of use. A capacity that is too low causes students to encounter the site-capacity block during busy periods even when individual destinations have room.

## Configure Pass Duration Settings

| Setting                          | Description                                                                                                                                                                                                     |
| -------------------------------- | --------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Max Pass Duration**            | The maximum length allowed for any single pass at this site. Room-level duration limits cannot exceed this value.                                                                                               |
| **Pass Expiration Grace Period** | The buffer period after a pass reaches its scheduled end time before it transitions to **Overtime** or **Expired** status.                                                                                      |
| **Max Blocked Pass Duration**    | How long a pass in **Waiting for Approval** status can remain pending before Hall Pass cancels it automatically. This applies to passes that require staff approval and have not yet been approved or rejected. |

## Configure Student Limits

| Setting                 | Description                                                                                                                                                      |
| ----------------------- | ---------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Pass Limit**          | The maximum number of passes a student can create within a set interval (per day or per week). Configure the interval using the **Pass Limit Interval** setting. |
| **Time Between Passes** | The required wait time between the end of one pass and the start of the next for a given student.                                                                |

Combining a long time-between-passes value with a low pass limit can create significant friction. Validate these settings against your bell schedule and student support needs before finalizing them.

## Configure Student Permissions

| Setting                          | Description                                                                                                                                                                                                                                                 |
| -------------------------------- | ----------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Allow Students to End Passes** | When turned on, students can end an active pass themselves. When turned off, only staff can end a student's pass. If you turn this off, establish a consistent end-of-trip process with staff to prevent passes from lingering in active or expired states. |

## Configure Location Options

| Setting                      | Description                                                                                                                                                                                                                                                                |

| **Allow Staff as Locations** | Controls whether staff members can be selected as pass origins or destinations alongside rooms. When turned off, only rooms are available. If you disable this, ensure room destinations exist for common staff-based workflows such as nurse, counselor, or front office. |

## Understand How These Settings Affect the User Experience

**Site Capacity.** When the site-level cap is reached, students see a block message and cannot request new passes, even if their chosen destination has available capacity.

**Time Restrictions rules.** Site-level duration limits work in combination with Time Restrictions rules. If a Time Restrictions rule shortens allowed pass durations during a specific period, the more restrictive value applies. Use the **Time Restrictions** nav item under **Manage** to configure time-based rules separately from site-wide duration maximums.

**Pass limit and time-between-passes stacking.** Both limits apply independently. A student who hits the time-between-passes window cannot request a new pass even if they have remaining passes in their limit. Audit both settings together.

**Blocking all movement.** A very low site capacity or aggressive Time Restrictions rules can make Hall Pass appear unavailable during busy periods. Use **Reports** and **Smart Reports** to identify peak usage windows and adjust settings accordingly.
