# Import External Data into Pear Assessment

> Upload a vendor-formatted CSV into Data Studio to bring external academic or non-academic assessment data into your Pear Assessment environment.

Import External Data into Pear Assessment

External data can be imported into Pear Assessment with a CSV template in **Data Studio**. It requires Data Operations to complete the steps. Please reach out to your District Administrator if you don't see the **Import External Data** button in Data Studio and ask for Data Operations permission.

## Import External Data into Pear Assessment

This article explains how to import external data into Data Studio using the Import External Data feature. If the file format you downloaded from the external vendor does not match the required format for upload, please export the correct version from the vendor's website.

Please note that custom or modified files: such as those opened and saved in certain applications or unfamiliar formats: can prevent a successful upload. If your upload is unsuccessful, please reach out to our support team.

## Best Practices for External Data Preparation

* Use Pear Assessment's vendor-specific template, which is detailed in the next section.
* Verify the vendor's template matches Pear Assessment's template to ensure the correct data is retrieved.
* Avoid modifying pre-existing columns, rows, and attributes in Pear Assessment's template.
* Fill out the following required fields regardless of the vendor-specific template:
  Student Identifier
  Grade
  Score

Note: Some templates require Date and Achievement Level to be filled. If your template requires it, please reach out to Pear Assessment Support for assistance.

## Upload External Data

The following instructions require Data Operations permission in Pear Assessment. Please reach out to your district administrator for access and refer to the FAQ in the next section.

1. Click **Data Studio** in the navigation menu.
2. Click **Import New External Data**.
3. Select a vendor for **Feed Type**.
4. Select the school year of the data that you're applying. For example, select the previous year when importing last year's data.
5. Enter a session, such as "Fall".
6. Click **Download Template** and compare Pear Assessment's template with the file downloaded from your vendor's website. Please make sure that your vendor's file and data match Pear Assessment's sample data.
7. Drag and drop or select the file downloaded from your vendor's website.
8. Click **Upload**.
9. Keep track of the upload progress in the **Imports History** tab.

Tip: Errors and warnings returned? Click **View Errors/Warnings** to download a CSV and review the errors. After correcting them, click the **Re-Upload** button in the Imports History tab.

## FAQ

### Why Does the Color Scheme Look Different From Other Imports?

Pear Assessment pulls the color schemes directly from the vendor's website, and each vendor has a different color scheme.

### What's Included in the CSV Template?

The CSV templates include multiple attributes for comparing data in your Pear Assessment environment to the data file pulled from your vendor. The following are required and all others are optional:

* Student Identifier
* Grade
* Score

### Is There a Sample CSV That I Can Reference?

Yes, the template in the Import External Data feature includes a row of sample data. Please use it for reference when reviewing the data file downloaded from your vendor.

### How Does My District Administrator Give Me Data Operations Permission?

The District Administrator must sign into Pear Assessment with their account and navigate to **Manage District** > **Users** > **District Admin** > hover on the user account and click the pencil button. Then, under **Role**, select **District Admin** and **Data Operations** > **Yes, Update**.
