# Pear Assessment End-of-School Year Checklist

## End-of-School Year Checklist

### Clever Integration

* Automatic Pause Based on End Date: Clever automatically pauses data sharing to Pear Assessment based on the end date set by the district’s SIS admin. Once this date is reached, Clever stops sending data to us, and we no longer receive roster updates.
* Restarting Sync: The SIS admin must manually unpause the sync in Clever for the new school year. This is controlled entirely on the district’s end and is based on the new school year’s start date. Once unpaused, Pear Assessment syncs data again.
* Class Archiving Behavior: We archive classes on July 20th, assuming their end date is July 19th. After this date, we automatically archive classes that have ended: no action is required from the customer. However, if the district manually archives classes in Clever before the end date, we archive those classes immediately in Pear Assessment.

## Edlink Integration (e.g., ClassLink, Schoology)

* Manual Pause Required: For Edlink-connected districts, the SIS admin must manually pause the sync on their end if they wish to stop data sharing with Pear Assessment.

If syncing continues, we continue pulling data.

If syncing is paused, no further data is pulled until the admin re-enables it.

## Manually Created Classes (Including Google Classroom, Canvas, Clever Library)

* Set Correct Start Date for New School Year: If teachers manually create classes: whether directly in Pear Assessment or via Google Classroom integration: they must set the start date to match the upcoming school year, even if they create the class early (e.g., May 15, 2025).

Example: If the new school year starts on July 20, 2025, set the start date to July 20, 2025 and choose the correct end date.

* Do Not Reuse Existing Classes: Teachers should not reuse or update old classes from the previous school year by changing the end date. This will cause reporting issues, as the class will still be associated with the previous school year, and data will be grouped incorrectly in reports.
* Changing Schools? Once your classes from the previous year are archived, you can change your school from the **Manage Class** tab or **My Profile** > **My Schools**. Be sure to do this before creating classes and adding students for the new school year to ensure your new classes are correctly linked to your updated school and roster.
* Use Clear Naming Conventions: Use school year-specific names for new classes (e.g., Biology - Period 2 - SY25) to avoid confusion across years.
