Data Studio pulls from several data sources — Pear Assessment results, external benchmark imports, attendance feeds, and student roster data. When a report shows missing or unexpected data, the cause is almost always one of four things: a filter is narrowing the results, the data source hasn’t been imported or connected, the report has a limitation for that data type, or there is a roster-year mismatch.

Quick Check: Filters

Before investigating further, check whether a filter is hiding data.
  1. Open the report and look at the active filters at the top of the page.
  2. Clear all filters and check whether data appears.
  3. If data appears after clearing filters, reapply filters one at a time to identify which filter is excluding the results you expected.
The Select Tests and Select Classes filters work together. If Select Tests is set to a specific assessment and Select Classes is set to a specific class, only students enrolled in that class who took that assessment appear. Report-Specific Limitations

Not every report supports every combination of data and time period. Check the following for the report you are using:

External Data Sources Not Appearing

If you uploaded an external benchmark (such as NWEA MAP, iReady, CAASPP, or a state assessment) and it does not appear in reports:
  1. Go to Data Studio and open Data Import.
  2. Check the status of the upload. Status options are Processing, Complete, and Failed.
  3. If the status is Processing, wait up to 2 hours for large files. If processing has taken more than 4 hours, contact Pear Assessment support with the import ID.
  4. If the status is Failed, review the error message. Common causes include student ID mismatches (see below) and date format errors.
  5. If the status is Complete but data still does not appear, confirm that Select Tests in the report includes the imported assessment.

Student ID Mismatches

External data is matched to students in Pear Assessment using a student ID field. If the ID in your import file does not match the student ID in Pear Assessment (for example, the file uses LASID but Pear Assessment stores SASID), records do not link and the data does not appear for those students. To diagnose:
  1. Export a small sample from your import file and compare the student ID values to student records in Pear Assessment.
  2. If IDs do not match, contact your district admin to confirm which ID field Pear Assessment uses and reformat the import file accordingly.

Roster-Year Mismatch

Data Studio associates student scores with the classes they were enrolled in at the time of the assessment. If a student changed classes, graduated, or was unenrolled after completing an assessment, their data may appear under a class they are no longer in. To see data for students who are no longer enrolled:
  1. In the report filter, look for an option to include inactive or unenrolled students.
  2. Check whether the class filter is set to show only active enrollment.
If class data looks inflated (students appearing in more classes than expected), this is expected behavior for external assessment data: state test scores are not tied to a specific class and appear in every class a student was enrolled in during the tested period. Score rollups de-duplicate at the student level.

Refresh Timing

Data Studio reports refresh on a schedule, not in real time. After importing new data or completing a batch of assessments, allow up to 24 hours for the data to appear in all reports.

Contact Support

If data is still missing after checking filters, report limitations, import status, and student IDs, contact Pear Assessment support. Include the report name, the data source, and a description of what you expected to see versus what appears.
