After a pass is created, staff can take action on it depending on its current status and your site’s configuration. The available actions are Approve, Reject Pass, Cancel Pass, End Pass, and Override Blockers.

Approve a Pass

Use Approve when a pass is in Waiting for Approval and you are the required approver for the origin or destination room.
  1. Open the pass from Home or Hall Monitor.
  2. Click Approve.
  3. Verify the result: if all blockers are resolved, the pass becomes Active (or Scheduled if it has a future start time). If other blockers still apply (capacity, limits, or a conflict), the pass remains in Waiting for Approval with the remaining reasons listed.
A pass can require more than 1 approval. For example, both the origin room and the destination room may require separate approval. Check the pass details to confirm all required approvals have been given.

Reject a Pass

Use Reject Pass when a pass in Waiting for Approval should not proceed.
  1. Open the pass from Home or Hall Monitor.
  2. Click Reject Pass.
  3. Verify the result: the pass moves to Rejected and does not activate. The student receives a notification that their pass to the destination was declined.

Cancel a Pass

Use Cancel Pass when a pass that is Scheduled, Waiting for Approval, or Active should no longer happen and the student does not need to go.
  1. Open the pass from Home or Hall Monitor.
  2. Click Cancel Pass.
  3. Verify the result: the pass moves to Canceled and does not activate.

End a Pass

Use End Pass when a student has returned and an Active pass should be closed.
  1. Open the pass from Home or Hall Monitor.
  2. Click End Pass.
  3. Verify the result: the pass moves to Ended and no longer appears as in progress.
Expired is not the same as Ended. An expired pass is overdue but still open. A staff member must end it unless your site has an automatic cleanup workflow.

Override Blockers

Use Override Blockers when a pass is in Waiting for Approval due to a rule or limit and your role or site policy permits you to bypass that blocker.
  1. Open the pass from Home or Hall Monitor.
  2. Click Override Blockers.
  3. Confirm the override.
  4. Verify the result: the pass activates despite the active blocker. The override is recorded in the pass history.

Note Key Behaviors

  • Kiosk mode changes who is acting. In kiosk mode, actions may be recorded as coming from the student unless a staff PIN is used. If audit trails matter for your process, use the PIN workflow when appropriate.
  • Multi-site staff. If a pass detail won’t open or actions fail, you may be in the wrong site context. Switch to the pass’s site and try again.
