Recurring passes are used for predictable, repeating movement such as daily check-ins, scheduled services, or regular appointments. Instead of creating a new pass each time, you define a schedule once and Hall Pass generates passes automatically at the configured times.
Recurring passes do not bypass enforcement. At each activation time, approval rules, capacity limits, and other restrictions still apply based on your site’s configuration.
Choose When to Use Recurring Passes
- A student attends a daily support service at the same time each day.
- A student has a weekly appointment that repeats on the same days.
- Staff want to pre-plan movement for a student with a consistent routine.
Create a Recurring Pass
-
Go to Recurring Passes in the sidebar.
-
Click Create Recurring Pass.
-
Complete the form fields below.
-
Click Create Recurring Pass to activate the schedule.
-
Verify the result: the recurring pass appears in the Recurring Passes list and begins generating passes at the configured times.
Edit or Delete a Recurring Pass
- Go to Recurring Passes in the sidebar.
- Select the recurring pass you want to change.
- Edit the fields as needed, then save. To stop the recurring pass entirely, delete it from this view.
- Verify the result: edited passes show updated settings in the list. Deleted passes no longer appear.
Editing a recurring pass affects future passes only. Passes that have already been generated are not changed.
Note Key Behaviors
- Scheduled is not guaranteed. If a recurring pass doesn’t activate at its scheduled time, open it from Home or Hall Monitor to see the blocker reason. Common causes include approval requirements, room capacity, or an active time restriction.
- Approval routing still applies. If your policy requires destination approval, confirm that the correct staff member or room owner is configured to receive approval requests. Recurring passes follow the same approval rules as manual passes.
- Multi-site users. Recurring passes are site-specific. Make sure you’re in the correct site context when creating or managing them.
