When a pass is requested, GoGuardian Hall Pass checks your site’s rules and either activates the pass immediately or holds it for approval. What happens next depends on your site’s configuration: a pass can go directly to Active, or it may land in Waiting for Approval if an approval rule, capacity limit, or other restriction applies. If the pass is scheduled for a future time, it appears as Scheduled until its start time.

Request a Pass as a Student

Students request passes from the Home screen.
  1. Go to Home.
  2. Select your destination room when prompted: “What room are you going to?”
  3. Confirm your origin room when prompted: “What room are you coming from?”
  4. Respond to the travel type prompt: “Are you coming right back?” Select Yes for Round-trip or No for One-way.
  5. Enter how long you need when prompted: “How much time do you need?”
  6. Click Send Request.
  7. Verify the result: your pass status appears on screen. It will show Active if the pass started immediately, Waiting for Approval if a rule is holding the pass, or Scheduled if the pass is set for a future time.
After submitting, your pass status shows one of the following:
  • Active — the pass started immediately and you’re cleared to go.
  • Waiting for Approval — a rule or approval requirement is holding the pass. Wait for a staff member to act.
  • Scheduled — the pass is queued for a future start time.

Request a Pass as Staff

Staff create passes for students from the Home screen.
  1. Go to Home and start a new pass request.
  2. Select the Student.
  3. Select the Origin Room (where the student is leaving from).
  4. Select the Destination Room (where the student is going).
  5. Enter the Duration in minutes.
  6. Select the Travel Type: Round-trip or One-way.
  7. Optional: Turn on Schedule for Later and set a future start time.
  8. Optional: Enter a Comment to add context for approvers or the record.
  9. Click Request Pass to submit.
  10. Verify the result: the pass appears in your active pass list with its current status (Active, Waiting for Approval, or Scheduled).
After submitting, the pass appears as:
  • Active — the pass started immediately.
  • Waiting for Approval — a rule is preventing activation. Open the pass to see the reason.
  • Scheduled — the pass will activate at the set start time.

Note Key Behaviors

  • Origin and destination can’t be the same. Hall Pass prevents the request if both rooms are identical.
  • Duration may be capped. Your site or destination room may enforce a maximum duration. If the duration resets or errors, lower it and try again.
  • Students can’t add comments. The Comment field is staff-only. If a student needs to provide context, staff must collect it before submitting.
  • Scheduled doesn’t mean guaranteed. A scheduled pass can still reach Waiting for Approval at activation time if approvals, capacity, or limits apply. Open the pass to see the blocker reason.
  • Multi-site users. If you belong to multiple sites, make sure you’re in the correct site context before creating or viewing a pass.
