Choose What Data Recipients Can See

Choose between 2 options to control what data recipients can access when viewing a shared report.

Use Same Data as Me

Use Same Data as Me when you want recipients to see the same data scope available to you in the report.
  • All recipients see the same data scope as the person sharing the report.
  • Recipients see the same set of data regardless of their individual organizational access.
Example: A school administrator shares a school-wide performance report with teachers. If Same Data as Me is selected, all teachers can see the same school-wide data available to the school administrator, rather than being limited to their individually assigned students.
Before sharing, confirm that every recipient is authorized to view the data included in your report. This option may provide a broader view than the recipient’s usual school or classroom access.

Use Their Data Only

Use Their data only when each recipient should see data based on their own permissions and organizational access.
  • Each recipient sees data relevant to their own access level.
  • School administrators see data available for their respective schools.
  • Teachers see data relevant to their assigned students or classes, based on their permissions.
Example: A school administrator shares a school-wide performance report with teachers. If Their data only is selected:
  • Teacher A sees data for their assigned students.
  • Teacher B sees data for their assigned students.
Recipients may therefore see different results when opening the same shared report.

Choose Whether Recipients Can Edit Filters

The Allow recipients to edit filters checkbox controls how recipients can interact with the report.
  • Selected: Recipients can change available filters to explore the data.
  • Cleared: Recipients can view the report using the filters configured by the person sharing it.
Example: If you share a report filtered to Grade 5, enabling filter editing allows recipients to select another available grade.
Filter editing does not independently change data access. The data recipients can view depends on the selected data access setting.
  • With Same Data as Me, recipients can modify available filters within the data scope shared with them.
  • With Their data only, recipients remain within their own data permissions, even when filter editing is enabled.

Frequently Asked Questions

What Is the Difference Between Same Data as Me and Their Data Only?

Same Data as Me allows recipients to see the same data scope as the person sharing the report. Their data only applies each recipient’s own data access permissions, so different recipients may see different data in the same shared report.

Can Teachers See School-Wide Data When a School Administrator Shares a Report With Them?

Yes. If the school administrator selects Same Data as Me, teachers can see the same school-wide data available to the administrator, rather than being limited to their assigned students.

Does Enabling Filter Editing Allow Recipients to Access Additional Data?

Filter editing does not independently change data access. With Their data only, recipients remain restricted to their own data permissions even when filter editing is enabled. With Same Data as Me, recipients can explore the data within the scope shared with them.

Can Recipients Change Filters if Filter Editing Is Disabled?

No. Recipients can view the report using the filters configured by the person sharing it but cannot modify them.

Where Can I Find Shared Reports?

Navigate to Insights > Shared Reports. The tab displays reports shared with you and reports shared by you. Click any report in the list to open it.

Which Report Types Support Sharing?
