Understand What Site Scans Do
Site Scans run automatically on a schedule. When a new scan runs, Hall Pass adds it to your Site Scans list. Each report covers a defined period of pass activity and flags issues by priority so you can focus attention where it matters most. Site Scans run weekly. Reports cover the previous week (Monday through Sunday in your site time zone). Hall Pass displays the next scheduled scan date on the Site Scans page: “We will automatically run a new scan on [date].”Review a Site Scan Report
- Go to Site Scans in the Hall Pass sidebar.
- Confirm Site Scans are enabled. If the status shows disabled, select Enable to resume scans.
- Select a report from the list to open it. The table shows Report Period and Issues for each scan.
- Review the issues listed in the report. Each issue includes a Description, a Next Steps recommendation, and a priority indicator.
- Verify the result: Each issue displays its priority level (High, Medium, or Low), a description of what the scan detected, and a recommended next step. High-priority issues appear at the top of the list.
Interpret Issue Priorities and Next Steps
Each issue in a Site Scan report is assigned one of 3 priorities.
Use the Description to understand what the scan detected. Use the Next Steps to guide your response. For high-priority issues, treat the next steps as action items and document your follow-up decisions.
Compare reports over time to confirm that rule changes or staffing adjustments are having the intended effect. Share relevant findings with staff who manage the affected locations or policies.
Keep in mind that if your site has low pass volume, reports may be short or show few issues. A short report doesn’t mean the scan failed. It means there was limited activity to analyze.
Enable or Disable Site Scans
Site Scans are enabled by default. If scans are disabled, Hall Pass will not generate new reports or send notifications.- To enable scans: Select Enable on the Site Scans page.
