Decide When to Use a Shared View
Create a Shared View when your organization needs to distribute a consistent App Catalog scope. The view captures the active App Catalog filters, including the Schools filter, and lets its creator choose which columns viewers see. Discover also provides an Approved Apps Shared View for the organization. Review its configuration and access mode before distributing its link.Compare Public and Private Access
Changing a Public view to Private immediately deactivates its link. Changing the view back to Public reactivates the same link.
Public links do not expire automatically. An authorized Discover user can deactivate a link, regenerate its URL, or delete the view.
Review Viewer Access
Public viewers can search the displayed apps, sort columns, move between pages, and download included approval attachments. They cannot change the captured filters or date range, choose different columns, or export the displayed data. Each viewer’s search, sorting, and pagination choices do not change the saved Shared View.Control Shared View Data
Creators choose which available columns appear. Available data includes:- Approval status, notes, dates, and attachments
- Usage and Screen Time information
- Tags and assigned-administrator information
- License quantities, costs, and contract value
Manage Shared View Permissions
Discover provides 2 Shared Views permission levels:- Edit/View: Shows Shared Views and lets the user create or manage every Shared View in the organization.
- No Access: Hides Shared Views and prevents the user from creating or managing them.
