Enhanced Gmail Monitoring improves Beacon’s ability to analyze emails sent through Gmail, producing more accurate alerts with fewer false positives. When enabled, Beacon can analyze emails sent from managed Google accounts regardless of the device used, including personal devices.
Enhanced Gmail Monitoring requires Beacon Core or Beacon 24/7 licensing. Only Super Users can complete this configuration.

Understand Enhanced Gmail Monitoring

Setup involves three steps completed across both Google Admin Console and Org Management:
  1. Add Domain-Wide Delegation to Google Admin Console
  2. Validate the Gmail API connection
  3. Enable the Gmail API in Org Management

Step 1: Add Domain-Wide Delegation

  1. Go to admin.google.com and sign in with your administrator account.
  2. Navigate to admin.google.com/ac/owl/domainwidedelegation.
  3. Click Add new and enter the following:
    • Client ID: 112161068141953563053
    • Select Overwrite existing client ID
    • Under OAuth scopes, enter: https://www.googleapis.com/auth/gmail.readonly
    Click Authorize.
  4. Click Add new again and enter the following:
    • Client ID: 115924662447705174210
    • Select Overwrite existing client ID
    • Under OAuth scopes, enter: https://www.googleapis.com/auth/gmail.readonly
    Click Authorize.
  5. In Org Management, navigate to Configuration > Product Settings > Beacon > Enhanced Gmail Monitoring. Select the confirmation checkbox to confirm that both client IDs have been added.
Changes typically take 5–10 minutes to apply. In rare cases, propagation can take up to 24 hours.

Step 2: Validate the Gmail API

After completing Step 1, verify that the connection between GoGuardian and Google is working correctly.
  1. In Org Management, click Step 2: Validate Gmail API under the Enhanced Gmail Monitoring tab.
  2. Enter the email address of a student in your organization.
  3. If validation is unsuccessful, an error message appears. Wait a few hours and try again. If validation is successful, proceed to Step 3.

Step 3: Enable the Gmail API

  1. In Org Management, toggle Turn Gmail API on under the Enhanced Gmail Monitoring tab.
Enhanced Gmail Monitoring is now active. Beacon will begin analyzing emails sent from managed Google accounts. "Enable Gmail API" setting drawing attention to the "Turn Gmail API on" toggle
