A check-in point is a room where visitors and students check in and out, such as the front office. Every check-in in GoGuardian Visitor happens at a check-in point. Check-in points tell staff where each visitor or student checked in, decide which check-ins each staff member can see, and group the kiosks and badge printers in each location.
You need the Site Admin role at the site to manage check-in points.
Understand How Check-In Points Work
A check-in point is a room registered for check-in and check-out in Visitor. You can register a room your site already has or create a new one. Rooms are shared between GoGuardian Hall Pass and GoGuardian Visitor, so a check-in point’s name and assigned staff are shared across both products.
Check-in points matter in 2 ways:
- They show where visitors and students checked in. Escalation alerts by email and SMS name the check-in point, so whoever responds knows where to go. Host and destination notifications say where the visitor checked in, for example “Jordan Lee has checked in at Main Office with you selected as their host.” The Front Desk and the Activity Log also show the check-in point for every check-in.
- They control which check-ins staff see. Staff check people in and out, review screening alerts, and view the Activity Log only at the check-in points they’re assigned to. Staff assigned to a side entrance don’t see front office check-ins unless they’re assigned there too. Site Admins see every check-in point. For details, see Users and Permissions.
Plan Your Check-In Points
Register a check-in point for each place where people check in or out. A check-in point doesn’t need a kiosk or badge printer. Staff can check people in from the Front Desk at any check-in point they’re assigned to.
The check-in point’s name is the room’s name, and it appears in alerts and notifications. Use a name your staff already know, such as “Main Office” or “North Entrance,” so staff who read an alert or notification knows right away where it happened.
To rename a room, go to Settings → Rooms. The new name also appears in Hall Pass.
Register a Check-In Point
- In Visitor, go to Check-In Points.
- Click Register Check-In Point.
- Choose a room:
- To use a room you already have, select Existing room, then select it under Room.
- To create a room, select New room, then enter a Name and, optionally, a Room Number. The new room uses default settings. To change its category or icon later, go to Settings → Rooms.
- In Assign staff to room, add the staff who check people in and out here.
- If you chose an existing room, review the staff already listed. Every staff member listed can open Visitor and see check-ins and screening results here once you register the room. Remove staff who shouldn’t have that access. Changes apply to the room in Hall Pass too, so staff you remove can’t keep the room for Hall Pass. If staff need the room for Hall Pass but shouldn’t have Visitor access, go back to step 3 and select New room instead.
- If your school uses Hall Pass and the existing room’s rules don’t support hall passes, you see Update Room Rules to support Hall Pass steps, selected by default. It lists the rule changes it makes. Clear it only if forms at this check-in point won’t use a Create Hall Pass step.
- Click Submit.
- Verify the result: The check-in point’s page opens, and the staff you assigned appear under Assigned Staff.
Assign Staff to a Check-In Point
Assign the staff who check people in and out at each check-in point. Staff assigned to at least 1 check-in point can open Visitor. Staff you assign here are also assigned to the room in Hall Pass.
Staff assigned to the room in Settings → Rooms get the same access as staff assigned here. That includes staff added there later, for example for Hall Pass, who can then see check-ins and screening results at this check-in point.
- In Visitor, go to Check-In Points and open the check-in point.
- Under Assigned Staff, click Manage Staff.
- In Assign staff to room, add the staff who check people in and out here.
- Click Submit.
- Verify the result: The staff appear under Assigned Staff. They can now open Visitor and check people in and out at this check-in point.
Remove Staff from a Check-In Point
- In Visitor, go to Check-In Points and open the check-in point.
- Under Assigned Staff, click Manage Staff.
- In Assign staff to room, click Remove next to the staff member.
- Click Submit, then click Remove Staff Member to confirm.
- Verify the result: The staff member no longer appears under Assigned Staff.
Removing staff unassigns them from the room everywhere it’s used, including Hall Pass. If they aren’t assigned to another check-in point, they can no longer open Visitor. For more, see Remove Staff Access.
Manage a Check-In Point’s Kiosks and Printers
Every kiosk and badge printer belongs to 1 check-in point. Open a check-in point to see its devices, create kiosks, and edit or archive kiosks and printers. Click a kiosk or printer to open it, then click Edit Kiosk or Edit Printer. To archive it, click More actions, then select Archive.
- Kiosks lists each kiosk’s Status (Online or Offline), its Forms, and its Printer. Click Create Kiosk to add one. See Kiosks.
- Printers lists each badge printer’s Model, Connection (USB or Network), and Connected Devices. Printers are added from a kiosk device or front desk computer, not from this page. See Badge Printers.
When staff print a badge from the Front Desk, they choose a printer by check-in point. That includes printers connected to an online kiosk there, so staff can print to a kiosk’s printer from the desk.
Unregister a Check-In Point
Unregister a check-in point when people no longer check in or out there. When you unregister a check-in point:
- Visitors and students can’t check in or out there anymore.
- Its kiosks are archived and signed out, and its printers are archived.
- Past check-ins and check-outs stay in the Activity Log, where Site Admins can open them. Staff still assigned to the room can open them too if they’re assigned to another check-in point.
- The room and its staff assignments stay. Hall Pass keeps using the room as before.
- Staff assigned only to this check-in point can no longer open Visitor.
- In Visitor, go to Check-In Points and open the check-in point.
- Click More actions, then select Unregister Check-In Point.
- Click Unregister Check-In Point to confirm.
- Verify the result: The room no longer appears in the Check-In Points list.
To use the room again, register it as a check-in point, create its kiosks, and add its printers again.
