Time restrictions let administrators define windows when pass requests are blocked. Use them to prevent passes during testing blocks, assemblies, lunch transitions, or the first and last few minutes of class periods. By default, a time restriction applies site-wide. You can scope a restriction to a specific group of students using Organizational Units.

Create a Time Restriction

  1. Go to Manage and select Time Restrictions.
  2. Select Create Time Restriction.
  3. Complete the form: Rule Name: the name visible to administrators and staff. Use a clear, policy-based name like “No passes during testing block” or “First 10 minutes of class.” Message for Students: the message students see when a time restriction blocks their pass request. Write something specific so students understand why their request was blocked and what to do next. Start Date: the first date this restriction is active. Use this to scope a restriction to a specific event like finals week. End Date: the last date this restriction is active. Leave blank if the restriction should apply indefinitely. Restrict real-time passes: turn on to block passes that students request in the moment. Restrict scheduled passes: turn on to block passes that students have scheduled in advance. A pass scheduled before the restriction was created can still be blocked if its activation time falls within a restricted window. Time Restriction Windows: define the specific time windows within the date range when the restriction applies. Add 1 or more windows (for example, 8:00 AM–8:10 AM, 2:50 PM–3:00 PM). Windows can repeat on selected days of the week. Organizational Units: select 1 or more OUs to scope this restriction to students directly in those OUs. Leave blank to apply site-wide.
  4. Click Save.
  5. Verify the result: The new time restriction appears in the Time Restrictions list. During the configured windows, pass requests from students in the targeted OUs (or site-wide, if no OU is set) enter Waiting for Approval with the blocker: Time restriction is active.

Compare Real-Time and Scheduled Pass Restrictions

These are 2 separate toggles. You can turn on either or both: If you only turn on Restrict real-time passes, students with a scheduled pass that starts during the window can still activate that pass. To block both, turn on both toggles.

Understand Date Scoping

Start and end dates let you create a restriction that’s only active during a specific event:
  • A restriction for finals week with a start date of Monday and an end date of Friday applies only during that week
  • Outside that date range, the restriction is inactive even if the time window would otherwise match
This lets you set up event-based restrictions in advance without needing to create and delete rules manually.

Apply OU Targeting

Organizational Unit targeting scopes the restriction to students who are direct members of the selected OU. Students in child OUs (descendants) are not included. If your restriction needs to cover students across multiple OUs, add each OU separately or leave the field blank to apply site-wide.

Review the Blocker Students See

When a time restriction is active and a student requests a pass, the pass enters Waiting for Approval with the blocker: Time restriction is active. Students also see the Message for Students you configured. Staff with override permissions can apply a Time Restriction Override to allow the pass despite the active restriction.

Review Configuration Tips

Use specific names. “No passes: finals week, Period 3-6” is more useful than “Time restriction 1.” Write a clear student message. Students don’t see the rule name. They see the message. “Hall passes are not available during the testing block. See your teacher if you have an urgent need.” is more useful than leaving the field blank. Watch for overlapping windows. Multiple overlapping restrictions can unintentionally block large portions of the day. Review active restrictions after any schedule change. Scheduled passes aren’t immune. A pass a student schedules before a restriction goes into effect can still be blocked if its start time falls within a restricted window. Train staff to check for this when students report that a scheduled pass didn’t activate. Update restrictions when schedules change. Special days, assemblies, and schedule changes can shift class times in ways that make existing restriction windows inaccurate. Update or temporarily disable affected restrictions when your bell schedule changes.
